Overview
Torii integrates with YouTrack and syncs:
- Users
- Licenses: YouTrack and YouTrack Helpdesk Agent (a Helpdesk agent holds both; Helpdesk reporters don't use a license).
- You can constantly stay updated with application information from our Integrations Page >> Integration Capabilities button >> Integration Capabilities table.
Requirements
To connect this integration, we require the following:
Accounts & Permissions
- A YouTrack user account (Cloud or self-hosted) that is an admin, or that has the global Read User permission, to sync users. Without it, YouTrack returns only the token's own user, without an error: only that user is synced, and all other users will look removed in Torii.
- To use the Torii action (Create YouTrack user), the same user also needs the Create User permission.
- The user must also have the Update Self permission, which YouTrack requires for creating a permanent token.
A token can never have more permissions than the user who created it.
Required keys
- YouTrack URL - the base address of your YouTrack instance, for example https://your-instance.youtrack.cloud (for self-hosted instances, include the path if there is one, such as https://youtrack.example.com/youtrack). Don't use the address of a page copied from your browser (such as .../issues). It must start with https:// and must not end with a slash.
- Permanent Token - a YouTrack permanent token. The token scope must include YouTrack. For the Create YouTrack user action, the scope must also include YouTrack Administration (this lets Torii create the user's login account).
How to Generate the Required Values
Step 1: Generate a permanent token
- In YouTrack, click your avatar in the main navigation menu and select Profile.
- Open the Account Security tab.
- In the Tokens section, click New token.
- In the New Permanent Token dialog, enter a name (for example, Torii) and choose the scopes the token should cover. Select YouTrack. If you plan to use the Create YouTrack user action, also select YouTrack Administration: without it, the user is created without a login account and may not be able to sign in. (On self-hosted YouTrack that uses an external Hub, manage the token in your Hub account instead, through the Update personal information and manage logins link in your YouTrack profile.)
- Click Create token.
- Click Copy token and save the token.
Important
You must copy the token at this point. Once you close the dialog, the token cannot be viewed again. If you lose it, you will need to create a new one.
Step 2: Copy your YouTrack URL
- Copy the base address of your YouTrack instance, for example https://your-instance.youtrack.cloud (for self-hosted instances, include the path if there is one, such as https://youtrack.example.com/youtrack). Don't copy the address of a page you have open in your browser (such as .../issues).
- Make sure it starts with https:// and has no trailing slash.
How to Connect the Integration
- Go to the Integrations page in Torii.
- Search for YouTrack and click Connect.
- Enter the Account Name, YouTrack URL and Permanent Token.
- Click Connect.
Actions
- Create YouTrack user - creates a new user, using their email address as the login. Requires an initial password and the user's full name.
Q&A
Q: What should I enter in the "Account Name" field?
A: The Account Name field lets you connect multiple YouTrack accounts to Torii. The value can be anything you choose. It is only used to distinguish between your connected accounts. Make sure to use a unique Account Name for each account: connecting a different account with an Account Name that is already in use will overwrite the existing account's data, so choosing distinct names is your responsibility.
Q: What happens if a user with the same email already exists in YouTrack?
A: YouTrack doesn't require unique email addresses. If the email belongs to an existing user with a different login, a second user is created. If the login itself is already taken, the action completes without creating a duplicate.
