How to customize app categories in Torii

Overview

Managing SaaS efficiently starts with organizing it your way. Torii provides you with out-of-the-box app categories to manage your app inventory, but also the flexibility to adjust and structure application categories based on internal workflows and business needs.

Adjusting app categories can lead to better organization and app governance, streamlining access request workflows, and providing more effective oversight of your SaaS spend.

How to customize your app categories

Updating the category field

  • To create new app categories, navigate to Settings → Application Details. Here you will find the "Category" field
  • When editing this field:
    • You can create, edit, reorder or remove additional app categories in addition to the ones provided by Torii.
    • Out-of-the-box Torii categories cannot be edited/removed.
    • This field cannot be removed or renamed. 
    • Please note: 
      • You cannot delete a category if there are apps currently associated with it.
      • If you rename a category, the apps previously assigned to it will automatically be reassigned to the new category name.

Updating an application's category 

  • You can change an application's category in several places in Torii:
    • Applications → Review page: The Category field appears here as a drop-down in the relevant column. You can edit each application's category, or change the category for multiple apps at a time via bulk edit.
    • Specific Application → Overview page: The Category field appears here as a drop-down in the About section on the right side.
    • Specific Application → Info tab: The Category field appears here as one the the fields under the relevant group.
      • In addition to changing an app's category here you can also view the change history for this field (the first history for this field will be the OOTB category auto-selected by Torii for this app). This ensures you have a full audit trail of who made changes and when.

 

Category and App Comparisons

Customizing app categories can impact the apps compared in the Applications → Compare tab. When you change the category of an app, it can introduce new comparisons based on the updated categories. Additionally, existing comparisons may be removed if the categories no longer align.

 

Important notes

  • Only users with the Applications | Take Action scope will be able to edit app categories and manage the category field settings.
  • Newly discovered apps in Torii will be categorized based on Torii's OOTB categories. 

 

Best Practices

  • Create new app categories that match the way your organization structures and organizes apps internally. Then, apply these categories to existing apps.
  • Create Application Meet Criteria workflows that automatically match newly discovered apps with certain categories to the relevant categories for your organization (i.e. "Discovery date is less than 3 days ago" and "Category is IT & Security" -> Update application field: Category -> "IT")
  • Once you update your app categories (and regularly afterwards), go to the Applications -> Compare tab and check whether any potentially redundancies have been found. 
  • Utilize the app category field to adjust which apps are available to be requested via the app catalog.
