Overview
Torii dashboards empower you to visualize data, uncover insights, showcase progress, and identify areas for improvement. These dashboards aren’t just valuable for your core Torii users—they’re a powerful way to share insights with stakeholders, collaborators, and anyone involved in your app and user lifecycle.
To support this, Torii enables dashboard-level access control, allowing you to finely tune who can view, explore, or manage individual dashboards.
This article explains how to share your dashboards with Torii members, how these permissions work, and where to find them.
Dashboard access levels
Users can be granted one of three permission levels when invited to a dashboard: View, Explore, or Manage.

- No access to source data or editing capabilities

Scope-based dashboard access
- In Settings -> Roles, you can view the different roles available for Torii members, create new roles, and adjust the scopes these roles have access to.
- Torii has a dedicated scope related to dashboards: Dashboard management.

- The Admin role includes the Dashboard Management: Take Action scope.
- The Read Only role includes the Dashboard Management: Read Only scope.
- Note: Assigning the Dashboard Management: Take Action scope also automatically grants read-only access to all data sources in Torii—this is required to enable Manage permissions on dashboards.
Sharing dashboards
You can share a dashboard in two ways:

Scope-Based Sharing Grant a role either the Take Action or Read Only dashboard scope (see above).
- Direct Invitation via the “Share” Button
The Share dashboard popup contains a list of everyone who can access that particular dashboard. You can also invite people to access the dashboard here, manage their access level or remove their access altogether.
You are also able to generate a guest access link, which will make the dashboard available to non-Torii members. This link will grant anyone who has access to it access to the relevant dashboard - no log in required.
To invite people to this dashboard:
- Click on the “Add people and roles” search bar
- Search by:
- Name
- Role (grants access to all users in that role)
- “All Torii Members”
- Choose a permission level (View or Explore)
- Click Invite
- An invitation email with a link to the dashboard is sent upon the first invite.
You can invite users to a dashboard with either View or Explore permissions. To grant a user Manage permissions to a dashboard, use the scope-based method described in the previous section. This level cannot be granted via the Share popup.
Managing dashboard access
To adjust a user or role's access:
- Open the Share popup
- Use the dropdown next to each name to update or remove access
Roles with Dashboard Management scopes will appear in the list but cannot be modified via the Share popup.
Dashboard guest access
Access to a dashboard using a guest access link is identical to access via a direct invite. People with this link will be able to view the dashboard, and see widget source data (if the Explore permissions is provided).
For security measures, by default dashboards do not have a guest access link available. To create a guest access dashboard, change the guest access permissions from "No access" to either "View" or "Explore". This will also automatically generate a guest access link.
You can generate a new link by clicking the "Generate new link" button above the guest access permission controls. This will invalidate the previous link (Torii only supports one guest access link per dashboard).
To revoke guest access permissions, simply change the guest access permission level back to "No access".
Q&A:
Q: I can’t find a user when trying to share a dashboard Why?
A: This can be due to two reasons:
- The search function will not find users or roles that already have access.
- Only existing Torii members can be found here — if a non Torii member needs access, invite them to Torii first.
Q: Does dashboard access override a user’s existing data permissions?
A: Yes. Access to a dashboard grants visibility to all its content, regardless of the user’s other permissions within Torii.
Q: A user has “View” permissions but can explore a widget’s source data—why?
A: They likely have access from another source (e.g., a role with higher permissions or the “All Torii Members” option). If a user has different access levels from multiple sources, the highest permission level always applies.
Q: Will users get an email every time I update their permissions?
A: No. Only initial invitations trigger an email. Changes to existing access levels or role-based access updates do not send notifications..
