Overview

Monitoring SaaS expenses is crucial for effective SaaS management. Torii helps you:

  • Differentiate between paid and free apps.
  • Uncover shadow spend, identifying apps that might pose security or compliance risks.
  • Monitor total software spend over time.
  • Track department-level spend.
  • Prioritize SaaS optimization based on actual costs.

Finance teams can quickly identify high-spending tools, find their owners, and access detailed information about the tools, including users, owners, contract terms, compliance, and security details. Customized notifications for any new app with spend are also available. Additionally, Torii allows monitoring month-over-month spend per app.

How to Get Expenses into Torii

There are three ways to import expenses into Torii:

  1. Automatic Integration (Recommended): Integrate with your expense software.
  2. Manual Import: Upload expense files manually.
  3. API Integration: Automatically import expense files using the Torii API.

If you use multiple finance systems (e.g., Expensify and Netsuite), it's recommended to connect the main one, as secondary systems are usually integrated with it. In cases where transaction details specifying the application name are not fetched into the main system, connecting multiple systems may be necessary. Torii's deduplication mechanism ensures each transaction is accounted for only once.

How Transactions Are Matched to Applications

Torii uses a sophisticated matching algorithm to link transactions (vendor bills, credit card charges, etc.) to apps, based on description and memo fields.
Users can create custom matching rules to suit their organization’s specific needs, such as internal tool names.
Non-SaaS transactions are not displayed in the Torii UI and are accessible only by users with the Expenses “Take action” scope.

Who Can See Finance Data in Torii

Torii’s granular roles and permissions capabilities allow the Torii admin to define who can view finance data (contracts and expenses).

Filtering Transactions Fetched by Torii

The Netsuite finance integration can be configured to include or exclude specific GL accounts and/or transaction types.  For more information, please reach out to support@toriihq.com or your Torii CSM.
