We’re excited to announce a major enhancement to Torii’s automation capabilities with the launch of the Tasks Hub—a centralized system for creating, managing, and tracking tasks across your workflows.
This update introduces tasks as a first-class entity in Torii, expands workflow flexibility, and simplifies notifications. Below is everything you need to know about what’s changing, how your current setup will be upgraded, and what actions (if any) you need to take.

What’s New?
1. Tasks Now Have Their Own Page
With this release, Tasks are now a standalone entity within Torii. You’ll find a new “Tasks” page in the left-hand navigation of the Torii admin console.
From this page, admins can:
-
View all tasks across all workflows
-
Filter and search by type, assignee, status, or date
-
Access task settings, including global notification preferences
-
Monitor open, completed, or canceled tasks with ease
This gives your team a centralized command center for operational actions.
Migration of Existing Workflow Actions
To unify how tasks are created and tracked, we’ve upgraded your existing workflow actions. Here's how your legacy actions will be transformed:
Old Action | New Action |
---|---|
Request approval | Create task – Approval Request |
Send application form | Create task – Fill Application Form |
Send contract form | Create task – Fill Contract Form |
Each new action type supports advanced configuration, visibility in the Tasks page, and seamless integration with task lifecycle tracking.
How Action Fields Are Being Converted
To preserve your existing workflows during the upgrade, we’ve mapped the fields from the old actions to their equivalents in the new task format. Below is a breakdown of how these fields are translated:
Email-Based Actions
Old Field | New Field |
---|---|
Email to | Assigned to |
Email CC | Notify this email on task creation |
Email subject | Title |
Email body | Message |
Slack-Based Actions
Old Field | New Field |
---|---|
Send to users | Assigned to |
Send to channels | Notify this Slack account on task creation |
Message title | Title |
Message text | Message |
These mappings ensure a smooth transition, with no action needed on your part for the conversion to take effect.
Global Task Notification Settings
Another key change: Notification settings are no longer controlled per workflow action.
Instead, notifications for task assignments are now configured in one central place—the Task Settings page, accessible via the top-right of the new Tasks hub.
Admins can now define global preferences for:
-
Slack notifications
-
Email notifications
This centralized approach reduces redundancy and ensures a consistent communication experience across all workflows.
Important: Dual Notifications for Slack Users
As part of the new global task notification settings, both Slack and email notifications are enabled by default.
This means that if your organization currently uses Slack for task delivery, your assignees will now also receive email notifications for the same tasks after the upgrade.
This ensures tasks are not missed—but it also means users may receive both Slack and email notifications unless changed.
How to Adjust Notification Preferences
If you prefer to limit task notifications to Slack only, you can update this in the Task Settings:
-
Go to the Tasks page in the Torii admin console
-
Click the “Task Settings” button in the top-right corner
-
In the Notifications section, disable “Send email notifications”
This ensures that task alerts are delivered only via your preferred channel.
Deprecation of Certain Notification Options
With this streamlined model, a few legacy options are being retired:
Email CC Field in Forms
Old form actions (application/contract) sent via email previously allowed for CC-ing additional addresses. This is no longer supported. If you'd like someone to be notified on task creation, please use the "Notify this email on task creation" field instead.
Slack Channel Assignment
Previously, approval requests could be sent to Slack channels. With the new system, every task must be assigned to a user (or multiple users) to promote accountability and clearer ownership.
If you'd still like notifications to appear in Slack channels, you can use the new "Notify this Slack account on task creation" option alongside direct assignments.
Why These Changes Matter
-
Improved visibility: Tasks are now easily trackable and auditable across the platform.
-
Clearer ownership: Required assignments help drive task completion and accountability.
-
Simplified configuration: Centralized task settings remove ambiguity and make task setup more efficient.
-
Seamless automation: Workflows now pause and resume based on task completion, ensuring the right steps are taken at the right time.
No Action Required (But You Can Customize)
All your existing workflows using the legacy actions will be automatically migrated to the new task system. That said, you may want to:
-
Review your global task notification settings
-
Customize task messages and titles for clarity
-
Explore the new Tasks page to get familiar with its features
